Refrigerator and Freezer Monitoring System

GLP, GMP and GDP clearly demand Refrigerators, Freezers
and ULT Freezers in laboratories, hospitals and pharmacies
need temperature monitoring.

Most pharmaceutical products must be either stored at room temperature (15-25°C) or refrigerated (2-8°C). In R&D labs however, numerous temperature and humidity ranges are required. In food processing and food product storage frozen and refrigerated temperatures play an important role. From a temperature monitoring perspective, of course every temperature can be monitored. However, the right data logger and sensor must be chosen.

Below you find an overview of refrigerator and freezer monitoring systems and with what kind of wired or wireless probes the temperature should be monitored:

Things to consider when choosing a
refrigerator or freezer monitoring solution

In order to find out which monitoring solution fits best into your temperature environment, there are a few fundamental questions you need to answer:

How do you want to receive alarm notifications?

A fridge/freezer temperature monitoring system is monitoring temperatures at all times and delivers an uninterrupted measurement chain with tamper-proof data in the system you can use for reporting. Do you want to be notified and receive alerts/alarm in case of a temperature excursion?

  1. Temperature monitoring is just for documentation purposes
  2. Who to contact in case of a deviation: Alarm notifications are mainly relevant during operating hours and should be visible/audible to the personnel nearby (horn/beeper, lamp)
  3. If materials stored in the fridge, freezer or incubator are critical, you'll want to receive remote alarm notifications 24/7 via email – also during nights, weekends and holidays when staff are away

How many measurement points do you need to monitor and where do you want to store your data?

Do you monitor just one single refrigerator/freezer or do you want to monitor several pieces of equipment? Are all devices in one place or distributed over many rooms, buildings, cities or even countries?

Thermometers are not sufficiant: A temperature monitoring solution in the GxP-complaint environment must be GAMP5 validated and FDA CFR 21 Part 11 compliant. This includes features like:

  • Meaningful dashboard including display of current temperature
  • Calibrated sensors with NIST-traceable certificates
  • Data integrity: uninterrupted monitoring, tamper-proof data
  • Monitoring of temperature and humidity thresholds, alarming and deviation reports
  • User management and audit trail
  • Automated reporting services including process document

Calculation Examples

Example 1: “Single Pharmacy”

For only 2 measurement points, total cost of ownership with LIBERO W is as low as CHF 200 per sensor and year. Yearly replacement sensors make it convenient to maintain compliance. Supported by on-site warning and alarming, the pharmacy has limited workload with monthly reporting.

Example: “Pharmacy Chain”

For a pharmacy chain with multiple sites and a total of 20 measurement points (10 sites with 2 measurement points each), total cost of ownership with the ELPRO Cloud can be as low as CHF 177 per sensor and year. Keeping the system in compliance is cost efficient thanks to the self-calibration tool. The automated central alarming and reporting via email results in convenience and peace-of-mind.

Example: “Lab”

A lab with 5 measurement points in Fridges and Storage Rooms is best served with the ELPRO Cloud resulting in total cost of ownership of CHF 234. With a fully automated 24/7 report and alarming solution workload is low and security is at maximum level.

Remember:

  • Consider all cost (HW, SW & labour)
  • Maintenance is key
  • Yearly calibration is a GxP-requirement
